General concept. Welcome to ITA! The Hoover Building’s Voice-over-IP phone system is an integrated
computer system. Each phone is a small
computer that must be specifically programmed to work within the system. Thus, the technician needs to know exactly
what the phone’s configuration needs to be.
Features. Your phone system offers numerous features,
such as a corporate directory; a list of all placed, received, and missed
calls; and an address book. The
Department periodically emails ITA users about its monthly training
sessions. For more information on how

Repairs and Changes. If you have a mechanical problem,
call 2-5010 directly for repairs. If
you need to order a new phone, get voicemail, add or modify a telephone
directory listing, or change how the phone works:
1.
Fill out a Telephone “MAC” (Machine Access Control) form,
which can be found at http://home.osec.doc.gov/wiring/HCHBmoves.html.
2.
Save it.
3.
Email the form to TelephoneServices@ita.doc.gov.
4.
It will be reviewed (sometimes in consultation with the
requestor), approved and forwarded to DoC’s “Hdesk” telephone contractor who
will do the work.
Form Instructions:
(1)
Use a separate form (sheet) for each phone instrument. However, you can many sheets for several
phones into one Excel workbook.
(2)
Make sure you put the correct “MAC” number (Machine Access
Number) since this is the way that the technician finds a phone unit in the
system. You can find it on every phone, if you select "Settings",
then "4 - Model Information", and look at the 4th line down, at the
number starting with "000".

Voicemail. Indicate
whether you want a change to the Unity Voice Mail system.
(4)
New equipment orders.
If you are ordering new equipments (phones, sidecars, etc.), be sure to
provide your office’s accounting code.

Type of Problem:
Describe what you are asking for, such as: new phone, new user,
reconfiguration, move, or other problem.
(6)
Point of contact (POC).
If the person making the request is different from the end user, or if
there is another contact phone # while request is being processed.
(7)
Caller ID is what other people will see when you call them
in the HCHB (such as your name and office name, or intern, vacant) etc.
(8)
Line Text is what the phone's display screen will look
like. The default is the phone number,
but you request it display your name, office, or other identifiers.
