ITA Secretariat must have a signed & dated copy of the response that includes the control number.  If you choose to respond by phone, you must inform ITA Secretariat who made the call and who they spoke to.  If you respond via  e-mail, please supply ITA Secretariat with a printout of the e-mail response that includes the control number.

Under Secretary Correspondence
If the response is for the Under Secretary's signature, submit the draft response using the WebCIMS Correspondence Tracking System. If your office does not use WebCIMS, please send your draft response to the ITASEC@ita.doc.gov address.  As with "A" Priorities, you must submit a concurrence sheet to the Secretariat.

For a response for an ITA official, submit a signed & dated copy to the Secretariat that includes the control number. For more information and instructions, please see the

Congressional Correspondence for Assistant Secretary or Deputy Assistant Secretary's signature
The Secretariat needs a signed & dated copy of the response that includes the control number.

NOTE: Drafters must route all prepared correspondence through their area's contact.

Q.  What procedure must be followed to request an extension, downgrade, decontrol, or transfer of correspondence for the Secretary's or Deputy Secretary's signature?

Such requests must be submitted to the ITA Secretariat in writing.  Please  send your request for extension, downgrade, or decontrol via e-mail to the ITASEC@ita.doc.gov address, or fax the request form to us at (202) 482-4770.  You may also drop the request form off to us in room 3821.  If you need to have a document transferred, please contact the ITA Secretariat via email at the above address, or call our office on x5101.  Please be sure to provide your area's contact with a copy of your request. The correspondence contact for your bureau will be notified when the approval or disapproval of the request is received from the Department's Executive Secretariat.

QWhat types of correspondence are routed through the Under Secretary's office?

(1)  ITA-initiated documents (example, Decision and Information Memos) or any correspondence initiated by ITA. These will be assigned a "D" control number by the Department's Executive Secretariat. This correspondence must be sent to Dean Matlack or Dava Kunneman in Room 3855. They can be reached at (202) 482-1051 if you need more information.

(2) Briefing papers for submission to the Secretary.

(3) Scheduling proposals/recommendations for the Secretary.

(4) Departmental reports for submission to the White House.

NOTE: Please provide ample copies of all reports to the Department's Executive Secretariat.
